Case study

Recovering Tally Accuracy After Delayed Port Access

During an ongoing discharge operation, the tally team arrived at port security and was denied access because the access request email could not immediately be located. Situations like this are not unusual in port operations, but they can have serious consequences when discharge continues while tally coverage is interrupted.

In a conventional tally process, an hour of missed activity can create uncertainty that is difficult to reconstruct afterwards. Manual notes, interruptions, weather exposure and human distraction all increase the risk of disputed counts and incomplete records.

Schad Expertise was able to prevent that outcome because each hoist in the operation had already been recorded through its web-based tally process, including photographs and linked hoist data. While access was still being resolved, the lead surveyor retrieved the already discharged steel bundles in less than twenty minutes and used the available hoist records to correct and complete the tally trail.

The missing access email was eventually found, but the operational delay had already been neutralised. By combining structured hoist-by-hoist data with fast retrieval, Schad Expertise preserved continuity in the reporting process and avoided the kind of discrepancy that could have become a serious issue under a traditional tally setup.

The final tally report was completed at one hundred percent accuracy. This case shows that the value of an outturn survey does not only lie in counting cargo as it moves, but also in maintaining traceability and report integrity when real-world port conditions disrupt the expected workflow.

Case study

Ten-Day Claim Query Resolved Through Hoist-Level Traceability

Schad Expertise attended the discharge of a mixed cargo of steel and big bags from a handy-size vessel. In total, 33,000 metric tonnes were discharged from five cargo holds, resulting in a final tally of 1,838 hoists.

For many survey providers, the challenge does not end when discharge is completed. The real test often comes later, when a client asks for specific evidence about a single cargo item within a very large operation.

Ten days after completion of discharge, the client contacted Schad Expertise with a question about the condition of one particular beam. Without a structured digital record, locating that exact unit across a high-volume discharge would have required time-consuming manual reconstruction and could still have produced uncertainty.

Because Schad Expertise maintains a full hoist-by-hoist outturn record, the survey team was able to retrieve the information on that specific beam immediately. The linked data made it possible to verify the relevant condition details and provide the client with a prompt and documented response.

That response enabled the client to reject the claim. The case demonstrates that a strong outturn survey is not only about producing a final count, but also about creating a searchable evidentiary record that remains useful well after the vessel has sailed.
